FAQs

Q: Is this retreat for women only?
A: Yes, this particular retreat is designed for guests who identify as women.

Q: What’s the weather like in Carefree, Arizona, in May?
A: Temps average between 93.6 to 63.9 F (34.2 to 17.7 C), so bring your hat and sunscreen, plan to hydrate, and do your best to pack accordingly. Pool and exercise attire are always acceptable at Carefree. Feel free — but do not feel an obligation — to dress up for our evening dinners. Consider bringing an extra layer or two for comfort.

Q: May I bring a non-retreat guest?
A: Yes. A non-retreat guest may share your room for an additional $150/night. Both guests will enjoy the same access to resort amenities (you’ll each have access to the resort amenities and 2 daily, complimentary daily wellness activities per person). Your non-retreat guest is responsible for their own food and beverage costs.

Q: May I share a room with another retreat attendee to save costs?
A: Yes. Depending on the room you select and the number of guests, we can let you know the price. The savings will translate only to the lodging portion of your price, and each guest pays the same, individual amount for food/programming.

Q: How do I get from the airport to the resort?
A: You have several options.

Phoenix Sky Harbor International Airport (PHX) is 34 miles from the property.
Scottsdale Airport (SDL/SCF) is 17 miles from the property.
The local private airport SkyRanch at Carefree (18AZ) is .9 miles from the property.

If you rent a car at the airport, parking is free at the resort.

If not, you can also take a service like Lyft/Uber (we recommend sharing one with another Write to Heal Retreat attendee to save money). Finally, Civana Wellness Resort & Spa can help with Airport Transfers.

Q: Is a deposit required?
A: Yes. A $500 non-refundable deposit is required to reserve your spot.

Q: Do you offer a payment plan?
A: Yes. Contact us to talk about specifics.

Q: How many attendees will there be?
A: We’re limiting this retreat to 10 guests.

Q: What are the resort rooms like?
A: Choose between a Double Queen Patio, Double Queen, or Single King Room.

Q: How do I book this retreat?
A: Registration Opens Soon! Reach out to let us know you’d like info about registration and Early Bird Discounts.

Q: Can I explore the area while I’m at the Write to Heal Retreat?
A: Absolutely! The town of Carefree, Arizona is a 17-minute walk from the resort. To maximize your time at the retreat (and to take advantage of all the resort’s amenities), we suggest exploring Carefree and the surrounding area either Tuesday evening, 5/9, after our brief welcome reception, or on the day you head back home.

Q: Website for Civana?
A: Here you go

Q: What are the resort policies?
A: Here you go

Q: Address for Civana?
A: 37220 Mule Train Road Carefree, AZ 85377

Q: If I decide to skip a meal or eat offsite or pass on a workshop, will there be a discount?
A: Unfortunately, no. We’ve taken great care in planning what we hope will be a self-contained event for you, with a balance of independence and community, and we’ve planned our budget accordingly. You’re always free to attend what you like and to skip what doesn’t serve you. You’re also welcome to leave the resort at any time (that sounds more ominous than it should, right?), but your Write to Heal Retreat cost will not change. Thank you for understanding.

Q: Do we do most things as a group during the Retreat? How much alone time will I get? How much writing time will I get?
A: Our 5 days and 4 nights are designed with the flexibility to maximize your daily needs and mood.

• You get to decide which wellness courses you’ll take (or skip them altogether).
• You get to pick from 2, daily, Write to Heal Workshops.
• You get to choose what to do for breakfast and lunch. Sleep in? Room service? Dine poolside? Eat alone? Gather with others?
• You can decide to add Spa services or a 1:1 onsite meeting with Christine for an extra charge.

We’ll share three dinners: Two communal dinners on Wednesday/Thursday (7:00 pm), and a plated, Farewell dinner on Friday (8:00 pm).

As far as writing time, that’ll all depend on how much you’d like to fit in. Are you an early riser? Are you a late-night writer? How much time do you envision sleeping in, thinking, and connecting with others? No matter how you answer, know that there’ll be several prompts and opportunities every day for expressive writing.

Q: I’ve registered! Now how do I prepare for this retreat?
A: Once registered, you’ll receive an email confirmation from Christine and an invoice for your non-refundable $500 deposit. Soon thereafter, Civana Wellness Resort & Spa will reach out to help you book your wellness classes, any spa appointments (additional charge), and travel arrangements to/from the resort (this is not included in the retreat cost). Book your classes and appointments early, as they regularly fill up.

A few weeks before your retreat, you’ll receive another email from us with packing information and other helpful details to prepare for your trip. To better serve you during the retreat, we’ll also schedule time for you to meet for 20-minutes via Zoom with Christine to discuss any questions you might have and get to know where you are in your writing and wellness journey.

Q: What’s nearby?
A: Some quick ideas:

Grocery/Pharmacies
There’s a grocery store 0.8 miles away, as well as pharmacies within 5 miles. Having stayed at Civana twice in the past, Christine can attest that, aside from leaving for a half-day, self-guided hike at Pinnacle Peak, she never needed (or wanted!) to leave the resort. During one of her visits, she developed a cold at the end of her stay and hired DoorDash to deliver decongestants in the middle of the night.

Shopping, Offsite Activities, and Nightlife
The resort itself has two small, onsite gift shops. The towns of Carefree and Cave Creek have bars, restaurants, art galleries, and shopping. Buffalo Chip Saloon in Cave Creek has bull riding and western-themed events on Wednesdays, and we’re told Pizzacata in Carefree is a fun restaurant!

Cancellations, Refunds, and Other Info

We HIGHLY recommend that all participants get travel and trip cancelation / interruption insurance, and check to see how the insurers handle COVID-19. Your retreat deposit is 100% non-refundable. If you cancel your retreat registration for any reason 60 days or more before the retreat (before March 10, 2023), we will return 75% of any fees paid less your non-refundable deposit and payment processing fees. If you cancel within 60 days of the retreat (March 10, 2023 or later), any fees paid cannot be returned unless there is a waitlist and your empty spot is filled; if so, we’ll refund 75% of your portion of the payments you’ve made (less your non-refundable deposit) after the retreat concludes. If not, and we are able to offer you a credit, you must use your credit within 18 months of cancelation. We can only offer refunds if we can fill empty slots and our providers also refund monies to us. If you cancel within 40 days of the retreat (March 30 or later), you will not be refunded/credited. You may, however, sell or give your spot to someone else.

If the retreat needs to be postponed, we will make every attempt to reschedule. While we present our information in good faith, sometimes things happen that are beyond our control. Circumstances may force us to change certain aspects of the retreat; in such a case, we’ll do our best to offer a comparable alternative.

* In the event of unexpected events such as natural disasters, pandemic surges, closures, etc., we’ll reschedule our retreat and apply your funds to the rescheduled event. Because of the preparation, care, and time that goes into this retreat, rescheduling is the best option. If we cannot offer a suitable time to reschedule, we will offer you a full refund and/or credit towards a future retreat. Please note that changes made to transportation and airfare are your responsibility. For all of these reasons and more, particularly those we cannot foresee, purchasing travel insurance is highly recommended.

The WRITE TO HEAL RETREAT IS NOT TREATMENT. The Write to Heal Retreat is neither a clinical nor a medical program. Attendees acknowledge that the retreat team will share personal learnings and opinions which are not to be interpreted as therapeutic advice. The intention of this Write to Heal Retreat is to offer a supportive and informative environment of discovery, with a focus on, but not exclusive to, expressive writing. As such, attendees will, at times, receive prompts or be asked to write about challenging and/or difficult memories which, may, at times, result in painful feelings and emotions. Attendees are responsible for managing their feelings and for participating in the retreat activities to the extent they feel safe and comfortable. Attendees acknowledge that every attendee will have a unique response to the activities, prompts, discussions, and offerings during this multidimensional retreat. Attendees acknowledge that, should they not feel safe or comfortable with or about an activity or a suggestion offered during the retreat, the attendees are responsible for communicating their feelings and are under no obligation to partake or continue with any of the activities offered. Attendees nevertheless acknowledge that no refunds will be extended for any portions of the retreat which attendees choose to decline, withdraw from, or find dissatisfactory. Attendees acknowledge they register and attend this retreat willingly and with the desire to spend time in the company of others who may express their own life challenges and struggles, and that some of the conversations and times of sharing may be difficult or uncomfortable to hear. Despite their personal backgrounds and experiences as professionals, the Write to Heal Retreat team members do not serve in this capacity as doctors, therapists, counselors, or advisors. Their opinions are their own, and Write to Heal attendees acknowledge they may accept or reject the materials, discussions, and suggestions offered during the retreat.

The Write to Heal Retreat Waiver
Once your registration and payment have been received, you’ll be asked to sign a waiver with this language:

Welcome!  I am excited that you are able to join us for the Write to Heal Retreat at Civana Wellness Resort & Spa May 9-13, 2023. I request that you participate in only those activities that you are physically, mentally, and emotionally able to do, and that you notify me of any restrictions you have regarding any of the activities, and I will do my best to accommodate them. Your safety and comfort is of the utmost importance to me.

Please read the following information carefully and let me know if you have any questions before signing and returning it to me.

This Agreement is being made between Writers’ Haven LLC of 1105 Maple Avenue, Evanston, IL, 60202 (“Retreat Facilitator” or “me”) and Your Name, address, city, state, zip (“Attendee” or “you”).  We both legally agree to the following:

1. Retreat Description.

The Write to Heal Retreat (“Retreat”) will include a 5-day/4-night overnight event from Tuesday, May 9, 2023 until Saturday, May 13, 2023 at Civana Wellness Resort & Spa (“Resort”) in Carefree, Arizona, United States.

Your Retreat will include a variety of activities to support the work we will be doing together, possibly including but not limited to writing, journaling, reading, optional workshops, daily wellness classes, walks around the resort, optional group gatherings, yoga, and meditation (“Program Activities”).

After our 4pm check-in on Tuesday, 5/9/23, we’ll have a one-hour welcome reception from 6-7pm. There will be three group dinners (Wednesday, Thursday, Friday). You are free to enjoy breakfasts, lunches, and snacks on your own, and you may apply your $300 food & beverage credit toward these dining options. Any dining costs incurred beyond the dining options mentioned above will be at your own expense. Please note: Alcohol is available at the resort but not included in your Write to Heal Retreat cost; food & beverage credit does not apply to alcohol, service charges, or tips.

Prior to the Retreat, you will receive an optional 45-minute Pre-Retreat Call with me and a Post-Retreat 45-minute call with Life Coach Gina DeLeo-Stamey (to be scheduled at mutually agreeable times).

You will be enrolled in the Retreat upon the receipt of: (1) this signed Agreement and (2) payment of your $500 deposit.

2. Expectations and Responsibilities.

As your Retreat Facilitator, my role is:

  • To come to each day of the Retreat fully present, prepared and ready to facilitate our work together.

  • To serve as your Retreat Facilitator, accountability partner, cheerleader and supporter when it comes to your commitment to yourself.

  • To be respectful of the time we have together and the value of this work.

  • To provide support and guidance designed to move you forward on your journey.

  • To offer encouragement, feedback and tips throughout the Retreat.

As the Attendee, it is your role and responsibility:

  • To be fully present at the Retreat, which means limiting use of cell phones during Retreat sessions, and not arriving late or leaving early from Program Activities or the Retreat, if at all possible.

  • To fully show up physically, mentally and emotionally as you are to each and every day and session of the Retreat, no matter what life or schedule distractions arise or resistances you may encounter.

  • To commit to the Retreat and come with an open mind.

  • To give yourself ample buffer space to transition into and out of our time and experience together.

  • To stay curious about yourself, your behavior, and materials shared or suggested by the Retreat Facilitator, team members, or other attendees.

  • To add to and receive from the experience of others who are with you at the Retreat.

  • To participate in the Retreat with the expectation that you have the power to transform and heal.

  • To act with respect towards every other person at the Retreat, whether other attendees, the Retreat Facilitator, Retreat team members, Resort staff, or anyone else you encounter.

  • To promptly provide payment for the Retreat.

  • To ask any questions you may have as they arise.

  • To rest, write, renew and allow time for fun!

Staying off-site/not at the Resort does have the potential to change your Retreat experience, and the Retreat Facilitator is not responsible in any way if you choose to move to another resort or location off-site.

  • The Resort will contact you directly to schedule your 2 daily wellness experiences. However, we suggest you contact the Resort to confirm your room selection as well as your wellness classes: 480 653 9000 or gx@civanacarefree.com.

  • If you choose to share a room with a non-retreat guest, you may each enjoy 2 daily wellness activities and split the room cost. However, the guest is not permitted to attend the retreat activities, programs, or meals, and the Retreat will not be responsible for your guest’s food and beverage costs or any other matters of their stay.

  • If you choose to share a room with a retreat guest, you may each enjoy 2 daily wellness activities and split the room cost. The guest will also be required to register for the retreat and follow all policies outlined in this waiver. They will also be asked to pay an additional fee to attend the retreat, to be determined by the Resort Facilitator based on several factors, including but not limited to # of existing attendees, Retreat materials, and Resort costs & fees.

You agree that the Retreat Facilitator reserves the right to decline accepting or retaining you if your physical or mental health or actions in the Retreat Facilitator’s sole judgment might impede the Program Activities or Retreat or the welfare or enjoyment of the experience by the Retreat Facilitator, her agents, Hotel staff, or other attendees.

  1. You consent to the application of first-aid or other medical or mental health services to be applied if needed in connection with an emergency health problem or potentially harmful situation during the Retreat, and you agree to hold the Retreat Facilitator harmless as a result of any such injury or damage you may suffer due to the application of medical or mental health services or treatment. You fully understand that first-aid or other medical or mental health services may not be readily available based on circumstances outside of the Retreat Facilitator’s control.

  1. You also agree and consent that the Retreat Facilitator or her agents may contact your Emergency Contact as shown on the bottom of this form for any physical or mental health reason and may disclose the circumstances surrounding that reason, if they deem it necessary, without liability and based on her sole discretion.

  1. You acknowledge that you are solely and personally responsible for your choices, actions and results, now and in the future. You accept full responsibility for the consequences of your use or non-use, of any information provided before, during or after the Retreat, and you agree to use your own judgment and due diligence before implementing any idea, suggestion or recommendation from the Program Activities and Retreat to your life, family or business. You fully agree that there are no guarantees as to the specific outcome or results that you can expect from using the information you receive on or through the Program Activities and Retreat, including no guarantees that you will have any other specific result.

  1. As with all situations, you understand that there are sometimes unknown individual risks and circumstances that can arise during the Program Activities or Retreat that cannot be foreseen or controlled by the Retreat Facilitator. You understand that attending and/or participating in the Program Activities and Retreat is to be taken fully at your own risk, recognizing that there is a rare chance that illness, injury or even death could result.

  2. You understand and agree that the Retreat Facilitator is not responsible for travel reservations, airfare, fees, taxes, tips, passports, visas, customs documents of entry, immunizations, or any other necessary or recommended paperwork or procedures that are required by the laws, regulations, orders and/or requirements prior to or during inside or travel outside of the United States. You understand that you are responsible for booking travel (which is recommended at least 30 days in advance), including flight and ground transportation to and from the Retreat. You are also responsible for bringing proper identification, which may include a valid passport, visa or other paperwork, that is valid for the requisite amount of time pre-travel and post-travel as required by the laws of your home country and the laws of the country where the Retreat is being held. You understand that you are responsible for obtaining the appropriate medical and trip/flight cancellation insurance and for knowing its applicability in the location where the Retreat is being held, if such insurance is so desired.

  1. Limitation of Liability, Indemnification & Release of Claims.

By attending and/or participating in the Program Activities and Retreat, you agree to absolve the Retreat Facilitator of any damage, liability or loss that you, or any other person, may incur from use of the information, products or materials that you receive before, during or after the Retreat and Program Activities. You agree that the Retreat Facilitator will not be liable to you, your family, dependents or heirs, or to any other individual, company or entity, for any type of damages, including direct, indirect, special, incidental, equitable or consequential loss or damages, for your participation in or reliance on the Program Activities or Retreat, or for your own personal emergencies, legal situations, theft or loss of belongings or luggage, or any food, travel, or use of the Hotel premises during or outside of the provided Program Activities or Retreat, at any time now or in the future, with the exception of gross negligence by the Retreat Facilitator or Hotel or otherwise provided by law.

You agree that the Retreat Facilitator does not assume liability for accidents, delays, injuries, harm, loss, damage, death, lost profits, personal or business interruptions, misapplication of information, physical or mental diseases, allergies, sensitivities, conditions or issues, or any other type of loss or damage due to any act, default or omission by the Retreat Facilitator, Resort, or anyone acting as the Retreat Facilitator’s or Resort agent, consultant, affiliate, joint venture partner, employee, shareholder, director, staff, team member, or anyone otherwise affiliated with the Retreat Facilitator’s businesses or who is engaged in delivering programs, products, or services during or related to the Program Activities and/or Retreat.

You agree now that you fully and completely hold harmless, indemnify and release the Retreat Facilitator and any of the Retreat Facilitator’s agents, consultants, affiliates, joint venture partners, employees, shareholders, directors, staff, team members, or anyone otherwise affiliated with the Retreat Facilitator’s businesses from any and all causes of action, allegations, suits, claims, damages, or demands whatsoever, in law or equity, that were to arise in the past, present or future by you, your family or heirs, your business or company, or any other third party or entity for any action, default or omission in any way related to the Program Activities and Retreat.

In no event will the Retreat Facilitator be liable to you or to any party for any direct, indirect, special, incidental or consequential damages for any use of, non-use, or reliance on this Retreat, the Program Activities, or its information, programs and/or services, including, without limitation, personal injuries, accidents, misapplication of information, or any other loss, malady, disease or difficulty, or otherwise, even if you are expressly advised of the possibility of such damages or difficulties, whether caused by the fault of you, the Retreat Facilitator, other attendees, other third parties, a force majeure, or any other act or circumstance outside of the control of the Retreat Facilitator.

You agree to act in a manner that is respectful and considerate of the Retreat Facilitator, all other Retreat attendees, the Resort staff, other third parties, and the facilities, and you agree to follow all laws, regulations and ordinances. You agree to pay for all damages to others and/or the facilities caused by any negligent, reckless, or willful action that you may take.

  1. Other Important Terms.

Notice:  All correspondence or notice required regarding the Retreat or this Agreement shall be made to me at christine@christinewolf.com and to you at the e-mail address in the signature block below. Should your e-mail address or contact information change at any time throughout the course of the Program, it is your responsibility to provide your new contact information to me within 72 hours of any such change.

Entire Agreement, Assignment, Survivability and Waiver: This Agreement contains our entire agreement. This Agreement may be modified or amended at any time if the amendment is made in writing and is signed by both of us. You may not assign your rights or obligations under this Agreement to anyone else. The failure to enforce any provision of this Agreement shall not be construed as a waiver or limitation of the right to later enforce and compel strict compliance with every part of this Agreement.  In the event that any part of this Agreement is deemed invalid or unenforceable, it shall not affect the validity or enforceability of any of the remaining portions of the Agreement which shall be severed and remain in full force.

Governing Law:  This Agreement shall be construed according to the laws of the State of Illinois and all laws and regulations of Cook County where my business is based.

Dispute Resolution:  It is hoped that should we ever have any differences, we could be able to work them out through a phone conversation or e-mail correspondence. However, should a dispute ever arise between us, we agree now that we will submit to binding arbitration before a single arbitrator, selected jointly, in accordance with the American Arbitration Association Rules. Prior to seeking arbitration, you must submit your complaint to me with full details about your dissatisfaction via e-mail to me at my e-mail address below. You understand and agree now that the only remedy that can be awarded to you through arbitration is full refund of your payment made to date. No award of consequential or of any other type of damages may be granted to you. Any judgment on an arbitrator’s award, if made, is binding and may be entered into any court having the appropriate jurisdiction. By signing this Agreement you are agreeing to a modification of the statute of limitations such that any arbitration must be commenced within one (1) year of the date of the act, omission, or other conduct complained of as submitted by you in e-mail, or shall otherwise be forfeited forever. You also agree that should arbitration take place, it will be held in Cook County in the State of Illinois where my business is located and the prevailing party shall be entitled to all reasonable attorney’s fees and costs necessary to enforce the Agreement.

Non-Disparagement:  In the event of a dispute between us, you agree to not engage in any conduct or communications, public or private, including social media, designed to disparage the Program or me, including the Overnight Retreat and my business. Where requested by law or arbitration, of course, you are not prohibited from sharing your thoughts and opinions as a part of the legal process.

By signing this Agreement, we are both acknowledging that we have read, understand, agree to and accept all of the terms in this Agreement. You understand that by signing this Agreement, you knowingly and voluntarily surrender certain legal rights.
